Every product has its own keys page, where each key is a row. This page covers what you can do with a single key: reveal and copy it, look up where it came from, read and add notes, follow its activity, and change its status or delete it. For stock levels across your catalog, see Manage stock.

Open a product’s keys

Open Inventory from the sidebar and select a product, or open the product under Products and choose Manage Inventory. Each row shows the key’s reference ID, its masked value, its status, the sales channel that took it, the order and purchase order it is tied to, the date it was added, and its expiry. The column holding the value is named for the product type, so it reads Key, Code, Link, Account, or File. The row actions below use the same word, for example Copy key or Copy code.

Reveal and copy a key

Keys stay masked in the list. To see a full value, select the masked value in its row, or open the row menu and choose Copy key. TokenSupply fetches the real value at that moment and shows it in a dialog, where Copy key puts it on your clipboard.
Revealing a key needs Manage access to Inventory. Each reveal is logged, and so is each copy, so the key’s activity shows who viewed it and when. File keys are not revealed this way.

The row menu

Open the menu at the end of a row for these actions.
Shows where the key was sourced: its Unit cost, the Purchase order it arrived on, and the Vendor who supplied it, each linking through. A key that did not come from a purchase order says so instead.
Opens the key’s notes. Each note shows its author’s name, a role badge such as Admin or Vendor, and when it was written. Notes from a vendor who supplied the key appear here too. Adding a note with Add note needs Manage access to Inventory.
Shows everything that has happened to the key, newest first and grouped by day: when it was created, revealed, copied, moved between statuses, replaced, or given a note, along with who did it. Deleting a key does not erase this history. The record is kept on file after the key is gone.
Appears only on a key that has been replaced. It lists each swap with who made it, when, and the old and new values, plus a link to the ticket when the replacement came from one. Replacements a vendor makes from the Vendor Portal are recorded here as well. A replaced key also carries a small counter beside its reference ID that opens the same history.

Change a key’s status

Under Change status in the row menu, choose Mark as Available, Mark as Reserved, Mark as Sold, or Mark as Invalid. Hovering over a key’s status also shows shortcut buttons for the same changes.
A Sold key has already gone to a customer. Moving a key off Sold asks you to confirm first, because it may be delivered or listed again.

Delete a key

Choose Delete item from the row menu and confirm. The key is removed from your stock permanently, although its activity history is kept.

Work on many keys at once

If you have Manage access to Inventory, select the Bulk actions button above the list to add a checkbox to each row.

Select the keys

Tick the rows you want, or choose Select All to take every key that matches the current tab, search, and filters, not only the page on screen.

Apply the change

Choose Status to move every selected key to a new status, or Delete to remove them. Deleting asks you to confirm first.

Finish

Choose Cancel to leave bulk mode.
The confirmation for moving a key off Sold applies to single keys. A bulk status change applies straight away, so check your selection before you choose Status.
